Academic Alert Process at WVU – Faculty

Thank you for your interest in connecting students who may be struggling with the right academic resource at the right time. REACH Student Success administers Early Alerts and Twelve-Week Alerts through EAB Navigate Progress Reports. This is not the same as a CARE Team Referral. Anything related to behavior or wellbeing should be referred to CARE. These are alerts for academic concerns. For emergencies or an immediate threat to self or others, please contact emergency resources.

Early Alerts

During weeks two through five of each fall and spring semester, instructors are encouraged to submit progress reports to identify struggling students.  Completing progress reports helps connect struggling students with WVU Resources. Faculty can select from two options: 

  • Concerned about progression in this course or
  • High Absences

Faculty can submit alerts at any time, but are encouraged to do so during weeks two to five so there's time for improvement before mid-semester grades. 

Students will automatically receive and email notification to their Mix email.  Additionally, REACH Student Success will follow-up with alerted students via text message after the 5th week to help connect students to campus resources.  Some academic units also send additional messaging during this time.

Please only select one alert as students will receive an email notification for each alert issued. Selecting multiple alerts for the same student could cause confusion.

Mid-semester Grades

Instructors submit a mid-semester grade (eighth week of the semester) for all students in an undergraduate course. These grades are used to support student success and are not recorded on the student’s official transcript. A student who has an error in a grade received or a grade omitted should contact the instructor immediately. REACH Student Success will contact students with at least one D or F via email and text to connect with WVU resources.

Twelve-Week Alerts

(takes place starting around the 12th week of the semester until the last day to withdraw)

Twelve-Week Alerts help identify students who are failing a course and should withdraw from the course before the last day to withdraw. Starting April 6th through April 13th, faculty can submit a progress report by selecting “Higher than F likely impossible. Consider withdrawing.” Academic Advisers will receive a notification when their student has received this alert.  At this time, this is the only alert that will be available. REACH Student Success will text all students receiving the alert to see if they need assistance in withdrawing from a course or all classes.
